What Is AppFolio? What It Covers and Who It Fits

AppFolio is property management software built by AppFolio, Inc., a public company based in Santa Barbara, California that has sold to residential real estate operators since 2006. One login covers accounting, marketing and leasing, maintenance, and portals for residents, owners and vendors. Pricing is quote only, with a 50 unit minimum on the entry plan.

What does AppFolio cover?

Accounting is the spine. The general ledger, owner statements, work orders and reporting sit in the same database as the leasing and resident records, which is the reason operators consolidate onto one system in the first place. The entry plan, called Core, lists property accounting and reports, marketing and leasing, work order management, inspections and unit turns, purchase orders and inventory tracking, in-app messaging, and Realm-X Assistant, the built-in AI helper.

Around that sit services AppFolio sells per transaction: online rent payments, tenant screening, and insurance-type risk mitigation. Those are billed separately from the software fee, and they matter to your monthly total more than most buyers expect. Residents, owners, vendors and investors each get their own portal. Product lines span single-family, multifamily, student and affordable housing, community associations and commercial, plus a separate investment management product.

Who is AppFolio built for?

Mid-size and larger residential operators. As of June 30, 2026 the company reported 9.6 million property management units under management in its Q2 2026 Form 10-Q, up from 8.9 million a year earlier, and it counts more than 20,000 customers on its own site. AppFolio defines a unit as active or committed at the period end date, so the figure is a book of business, not a headcount of buildings.

The 50 unit minimum on Core is the practical floor. Below it you are shopping in a lighter class of software. Above it, the plan decides your depth: Plus adds affordable and student housing rules, advanced budgeting, custom fields and read-only API access, while Max adds the Leasing CRM, Leasing Signals, read/write API access and a dedicated customer success manager. Worth knowing before a demo, because the leasing tooling in the pitch may live two tiers above the plan you get quoted.

What does AppFolio cost?

It does not publish rates. As of August 2026 the pricing page shows three plans with a quote request on each and footnotes a minimum spend alongside the 50 unit minimum on Core. Expect a per-unit rate quoted against your door count.

The revenue mix tells you more than the plan names do. In the quarter ended June 30, 2026, subscriptions brought AppFolio $59.8 million of $281.1 million in total revenue, while Value Added Services brought $219.5 million, roughly 78 percent, and the filing says a significant majority of that comes from electronic payment services, tenant screening and risk mitigation. That is the company's mix rather than your invoice. It still points at where to model your real spend: per-transaction fees, not the per-unit line.

Where does leasing still need something alongside it?

AppFolio's leasing tooling replies to leads and books tours, and its Leasing CRM sits on the Max plan. The two moments property managers keep raising with us fall outside that: the prospect who calls at 9pm, and the stranger who wants to see a vacant unit on Saturday morning.

Is AppFolio right for a small portfolio?

The 50 unit minimum on Core answers most of that question. Under 50 doors, the minimum spend is the deciding factor rather than the feature list. Over it, the choice is which tier carries the accounting and leasing depth you need, since several leasing features sit on the top plan.
