Ask one question, immediately, in the message thread the renter already used. What Response Rate Should You Expect?

Start with the two published figures that come closest. In The Macro View on Micro Units (Urban Land Institute, 2014), the research firm Kingsley Associates "distributed surveys to more than 37,000 conventional-unit renters across 180 apartment communities nationally and received 3,407 responses for a response rate of 9 percent" (emailed, invitations sent January 22 and open to February 18, 2014). Grace Hill answers "What is your response rate on surveys?" on its own solutions page with a range per type: "Ongoing Multifamily: 17%-22%", against 51%-56% for office tenants and 64%-69% for medical office (undated page, read August 2026).

Neither is a showing number, and they are not independent: the Grace Hill page runs under the KingsleySurveys name, the same firm that fielded the ULI survey. The ULI figure is an emailed survey of people already living in the building. Grace Hill's list has rows for office, industrial, retail, medical office, ongoing multifamily residents and employees, and none for prospects, while a client quote on that same page describes surveying "the prospect and resident journey including tours." The product exists; the rate for it isn't published. Plan for single digits to low twenties on a delayed, emailed ask.

Why Do PMs Think They Lose the Read Without an Agent There?

An agent walking a showing picks up what never gets written down: a hesitation in the kitchen, a comment about parking. Take the agent out and it feels like that read leaves with them. But it was never systematic: it depended on which agent worked which showing and whether they mentioned it. Self-showings trade an agent-dependent debrief for asking every visitor the same question.

What Happens When You Ask Immediately Instead of Later?

The one study measuring that comparison directly is from healthcare. In Dermatologic Surgery in 2017, Pena and Lawrence gave patients at a single dermatology office a short survey right after the visit and compared it with the national CAHPS survey over the same period: "Seven hundred fifty-six patients were seen and 251 surveys were collected. The real-time survey response rate was 33% compared with 9% for the CAHPS survey." Their reading of why is length and delay, not subject matter.

Scope it honestly: one provider's office, in dermatology, 251 responses. Not a leasing benchmark. The two resident-survey figures above are the closest published rates, and neither document reports an immediate post-tour ask. What transfers is the shape. Same population, same topic, and the short immediate ask was answered about three times as often.

How Long Can the Ask Be Before People Quit?

SurveyMonkey's analysis of roughly 100,000 surveys of 1 to 30 questions, first published February 2011, found abandon rates rising once a survey ran past 7 to 8 minutes, "with completion rates dropping anywhere from 5% to 20%" (percent, with no baseline stated, so not points). A later revision of the same page adds estimated per-question times, falling from about 75 seconds on question one to 19 seconds by questions 26 to 30. Two limits: it measures people who already started, and its own finding is that tolerance "decreased when they were customer related", the category a renter falls in.

What Should the One Question Ask?

Not "how did we do." Ask something you can act on: "What's the one thing that would've made this a yes?" or plainly, "too small, too pricey, or not what you expected?" A pattern across even a handful of answers is something an agent-led debrief never produced consistently. Three self-showings in a row naming price is a reason to test the asking rent this week.
